Terms and Conditions
1. Introduction
These Terms and Conditions govern all bookings and travel arrangements made with Maebar Travel. By confirming a booking with us, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
2. Booking Confirmation
A booking is considered confirmed only after:
- Receipt of the required deposit or full payment.
- Submission of passport details and other necessary travel information.
- Written confirmation from Maebar Travel.
All travel arrangements are subject to availability and approval by the relevant Bhutanese authorities where applicable.
3. Payments
- A deposit may be required at the time of booking.
- Full payment must be received before travel documents and permits are issued.
- Payments can be made through approved banking channels, online payment gateways, or other methods specified by Maebar Travel.
- Any bank transfer charges, currency conversion fees, or intermediary bank fees shall be borne by the client.
4. Visa and Travel Documentation
Maebar Travel will assist clients with the Bhutan visa application process where applicable.
Clients are responsible for:
- Providing accurate passport information.
- Ensuring their passport remains valid for at least six months beyond the intended travel date.
- Obtaining any required visas for countries transited before arriving in Bhutan.
Maebar Travel shall not be held responsible for delays, refusals, or losses arising from incorrect documentation provided by the client.
5. Cancellations by the Client
Cancellation requests must be submitted in writing.
Refunds, if applicable, will be processed according to:
- Government regulations.
- Supplier policies.
- Hotel, airline, and transport provider terms.
Any non-refundable costs already incurred by Maebar Travel on behalf of the client may be deducted from the refund amount.
Processing fees, bank charges, and payment gateway fees may also be non-refundable.
6. Changes to Bookings
Clients requesting changes to confirmed itineraries may be subject to:
- Additional costs.
- Supplier amendment fees.
- Availability limitations.
Maebar Travel will make reasonable efforts to accommodate changes but cannot guarantee availability.
7. Cancellation or Changes by Maebar Travel
Maebar Travel reserves the right to modify itineraries, accommodations, transport arrangements, or activities due to:
- Weather conditions.
- Road closures.
- Flight disruptions.
- Government regulations.
- Safety concerns.
- Events beyond our reasonable control.
Where significant changes become necessary, suitable alternatives will be offered whenever possible.
8. Force Majeure
Maebar Travel shall not be liable for delays, cancellations, losses, injuries, or additional expenses resulting from circumstances beyond our control, including but not limited to:
- Natural disasters.
- Floods.
- Landslides.
- Earthquakes.
- Epidemics or pandemics.
- Political unrest.
- Government restrictions.
- Airline disruptions.
- Acts of terrorism.
No refunds shall be guaranteed for services affected by force majeure events.
9. Health and Fitness
Clients are responsible for ensuring they are medically fit to undertake their chosen tour.
For trekking, hiking, and adventure activities:
- Participants must assess their own physical capability.
- Clients must disclose any relevant medical conditions before travel.
- Maebar Travel reserves the right to refuse participation where safety concerns exist.
10. Travel Insurance
Comprehensive travel insurance is strongly recommended.
Coverage should include:
- Medical expenses.
- Emergency evacuation.
- Trip cancellation.
- Personal liability.
- Loss of baggage and personal belongings.
Clients are solely responsible for obtaining adequate insurance coverage.
11. Liability
Maebar Travel acts as an organizer and coordinator of travel services.
While every effort is made to ensure a safe and enjoyable experience, Maebar Travel shall not be liable for:
- Personal injury.
- Illness.
- Property loss or damage.
- Delays caused by third-party providers.
- Events beyond our reasonable control.
Our liability, where applicable, shall be limited to the amount paid directly to Maebar Travel for the affected services.
12. Accommodation and Transport
Hotels, transport providers, guides, and other services are arranged with reputable suppliers.
Descriptions and photographs on our website are provided for guidance only and may vary due to renovations, seasonal changes, or operational requirements.
Equivalent alternatives may be substituted when necessary.
13. Client Conduct
Clients are expected to:
- Respect Bhutanese laws, customs, and cultural traditions.
- Follow instructions provided by guides and tour leaders.
- Refrain from behavior that may endanger themselves or others.
Maebar Travel reserves the right to terminate services without refund if a client’s conduct causes disruption, danger, or legal issues.
14. Website Information
We strive to ensure that information on our website is accurate and up to date. However, prices, itineraries, schedules, and availability may change without prior notice.
Maebar Travel reserves the right to correct errors or omissions at any time.
15. Privacy
Personal information provided to Maebar Travel will be used solely for booking management, visa processing, travel arrangements, and communication regarding your trip.
We do not sell or share personal information with unauthorized third parties.
16. Governing Law
These Terms and Conditions shall be governed by the laws of the Kingdom of Bhutan.
Any disputes arising from bookings or services provided by Maebar Travel shall be subject to the jurisdiction of the courts of Bhutan.
